From past longtime working experiences, I am more likely a creative negotiator. Every single case, I will try my best to fulfill every party’s benefit. Before setting something, I always take time to understand the counter party’s background, their goal and how important the case would be. Besides, I always analyze our side’s condition and coordinate with relevant person before setting something. In limited condition, how the arrangement is the best to us? Most of time, I do the good job. Below is one of the cases. However, it is still much left to learn to be a successful negotiator.
One of my most important customers would like to pay a serial of audits to their Ancient Asia suppliers. Our 惠州 factory was one our supplier planed to visit. I was aware that our factory was not so well-organized so I didn’t intend them to stay there for too long. I fully understood the more time my customer may stay, the more drawbacks were possible to be found. So when setting the schedule and agenda, I gathered information before confirming the schedule with them, then, I played the trick to set advantageous condition to us.
My target: (1) Complete the customer audit but shorten the time they may stay there. Just limited time will be left for customer to complete their main audit course but no spare time will be left for them to audit other courses they may want to see in case having time. (2) Squeeze 2 days for internal preparation / pre-audit / rehearsal before customer’s arrival.
At first, my customer proposed to audit on Monday and ask us to send them to 東莞 after audit (it mean they have scheduled another audit on Tuesday in 東莞). If I agree them to audit us on Monday, the situation will be as below.
Customer audit on Monday we have to take 6 days for complete this audit (Thursday [take flight to HK and move to China]Friday [preparation Saturday [pre-audit and Rehearsal] Sunday [off-duty, nothing can be done] Monday [customer formal audit] Tuesday [on the way to HK and take flight back to Kaohsiung]I am still a student in Wenzao, I have to ask for leave for 12 units.
If so, they will have whole day to audit us (let us get nervous, the scope they may see is not limited); besides, we may waste more time. I didn’t intend them to audit on Monday.
Since my customer was doing a serial audit in Ancient Asia within a short period, I made an inquiry implicitly to one of their supplier in Philippine which I knew the buyer very well. The buyer replied me that they were all serious about their Thursday’s audit. It meant our customer must reach Philippine by Wednesday evening time or night time.
After acquiring this information, I estimated the situation. From 惠州to HK airport, it will take 3.5 hr to take bus, at least 2 hour has to be left to check in. It meant my customer have to leave 惠州 before 2:30PM otherwise they can’t catch up the flight to Philippine. I replied to my customer that Monday is not convenient for us since we have scheduled another customer audit on Monday [I made up an excuse]. I asked their permission to re-schedule the audit on Wednesday. They just can agree with my arrangemen..
If on Wednesday My customer can reach 惠州 hotel by taking their 東莞supplier’s free riding on Tuesday, no need us to arrange pickup on Tuesday evening Pick up on Wednesday morning 8:30AM start the audit at about 9:30AMdiscuss the main issue and main production line which produce their product review and discuss the defect they find in audit/factory tour12:30 Lunch in restauranttake bus setting out on 2:30PM from 惠州to HK because they have to reach HK before 6:30pm because their flight to Philippine is scheduled on 8:30PM.
My arrangement saved a lot of our time, and brought my company and me a lot of advantages. 1. Shortened the formal audit time from whole day to 3.5 hours. Both of my customer and we completed the audit. (task completed for 2 parties) 2. Prevented from reveling our drawbacks to the customers (keep good impression and maintain good comment from customer’s evaluation, reduced a lot of time for our internal preparation, ease relevant persons’ pressure) 3. Engineer and I shortened the business-trip days from 6 days to 4 days. (Set out on Sunday, pre-audit on Monday and Tuesday, come back on Wednesday. A lot of time is saved) 4. I just asked for leave for 4 units (I don’t have class on Tuesday and Wednesday)

As to the third point, what I mean in "serial audits" is that this time my customer visit is not only to my company, but to many suppliers which located in far easten Asia. Reagrding your feedback comment, should I use only "visit" or "inspection"? How to express the concept of "serial"?
